A content management system or CMS is simply a software program that you can use to create, edit, manage and publish content onto your website. Content management systems are also used widely for storing, controlling and publishing documents that tend to be industry specific, such as news articles, technical manuals, and sales guides and other materials. As for the content that is actually managed by a content management system, it could include computer files, images, audio files, electronic documents and web content. Content management systems are designed to make the task of publicizing web content to web sites much simply. They allow you to submit your content without needing any special knowledge of HTML (Hypertext Markup Language) or other web-based codes and without needing to know how to properly upload specific files. A CMS will generally consist of two basic elements. These are the content management application or the CMA and the content delivery application or the CDA. Using a content management system, you can manage all creation, modification and removal of content from your web site without really having to know specific web-based tasks. You do not need to be a web designer or webmaster in order to add or remove content from your website with a CMS. Features of content management systems typically include we-based publishing, format management, revision control, indexing, search and retrieval of content and files. The publishing feature will allow you to use a template or even a set of templates to create and modify your website’s content. The format management feature allows documents including legacy electronic documents and paper documents which have been scanned, to be formatted and added to your website. Revision control will allow you to update your content to a new version or restore that content to a more previous version. Additionally, a content management system will index all the data within your company or organization. You can then search for this data using specific keywords which your CMS will retrieve for you. Many content management systems also provide tools for one to one marketing. This is simply the ability of a web site to alter its content and advertising to meet certain uniqueness using information that is provided by the site or the user. If you are publishing content from a multitude of authors onto your website, then a content management system will be very beneficial. It will allow you to streamline your publishing processes and to develop an information design that will be strong and flexible. It can also allow you to manage your site’s content efficiently and to meet many cost effective goals. With a good content management system you also get a much better control over your content’s security. You can control who is permitted to publish to your website and even who is permitted to see what has been published. You can make publishing content to your website much easier, faster and more secure which will in turn allow you to focus your efforts on the actual running of your website or other issues that may need your attention.
